The Registrar is responsible for overseeing all aspects of student academic records, registration, course scheduling, degree audits, transcripts, and compliance with institutional policies and regulatory requirements. The Registrar ensures the integrity, accuracy, and security of academic records while providing leadership in the implementation of student information systems and enrollment services. The Registrar is the owner of all records and is therefore responsible for communicating with federal/state governments on accreditation and regulatory matters.

ESSENTIAL FUNCTIONS:

  • Maintain and safeguard complete, accurate, and confidential student academic records in compliance with FERPA, accreditation (e.g., ABHES), and state regulatory requirements.
  • Conduct regular audits of electronic student files (eFiles) to verify documentation accuracy and compliance with institutional and regulatory standards.
  • Oversee the issuance of official transcripts, diplomas, and enrollment verifications.
  • Manage student statuses, including enrollment, re-enrollment, leave of absence, withdrawal, and termination processes, in accordance with internal policies and external regulations.
  • Partner with Education, Admissions, and Financial Services to verify start-date readiness, ensuring all student schedules, records, and financial clearances align with institutional policy.
  • Review class rosters, attendance data, and grade submissions to ensure accurate and timely record entry.
  • Ensure efficient course scheduling and classroom assignments in collaboration with academic departments.
  • Oversee the graduation audit and clearance process, including the production of certificates, degrees, and transcripts.
  • Coordinate commencement activities, including graduate lists, honors designations, and program content.
  • Interpret and enforce academic policies, ensuring consistent and equitable application of institutional policies, catalog language, and procedures.
  • Ensure compliance with federal, state, and institutional regulations.
  • Ensure data integrity within the Student Information System (SIS), reconciling discrepancies across academic records.
  • Train staff and faculty on registration and records-related systems.
  • Generate, validate, and submit official enrollment, graduation, and compliance reports to campus, corporate, and external stakeholders.
  • Utilize reporting tools and dashboards to track and meet KPIs such as registration rate, processing time, etc.
  • Support corporate initiatives by implementing updated procedures, job aids, and training materials.
  • Contribute to the development of a compliance-focused, student-centered culture consistent with PMI's mission and values.
  • Ensure accurate posting and reconciliation of student payments and bank deposits per institutional financial policies.
  • Manage student registration activities by ensuring schedules are accurate, enrollment changes are processed promptly, and course repeats are scheduled according to established procedures.
  • Oversee course builds, section assignments, and classroom utilization in coordination with academic leadership.
  • Oversee production and release of certificates, degrees, and transcripts, maintaining clear documentation of issuance.
  • Process student education verification and official transcript requests.
  • Participate in process improvement initiatives to optimize SIS functionality and streamline workflows.
  • Serve as a liaison between campus departments (Education, Financial Services, Career Services, Admissions) to ensure seamless student transitions and data accuracy.
  • Ensure accurate posting and reconciliation of student payments and bank deposits per institutional financial policies.
  • Oversee inventory of books, uniforms, and materials; oversee procurement.
  • This role may require occasional travel to other campuses, company events, client meetings, and industry conferences.
  • Additional duties may be assigned.

MINIMUM QUALIFICATIONS:

  • Associate’s degree in Higher Education Administration, Business, Accounting, or a related field.
  • Minimum of two (2) years in a supervisory role.
  • Demonstrated experience with student information systems, academic audits, and regulatory compliance.
  • Knowledge of data analytics or project management strategies.
  • Proficient with Google Workspace, Microsoft Office Suite, student information systems,/other computer applications.
  • An equivalent combination of education, training, and experience may be considered.

COMPENSATION & BENEFITS: 

  • Hiring Range $53,295 to $66,620
