Office Assistant - Dental Hygiene Program
Location: Pima Medical Institute - Houston Campus (On-site)
Position Type: Full-Time, Non-Exempt
Compensation: $19.26 - $23.12 per hour
SUMMARY
Pima Medical Institute is seeking a detail-oriented and highly organized Office Assistant to support the administrative functions of the Dental Hygiene Program. This critical role works directly with the Program Director and Clinical Director to manage the office, support program activities, and ensure smooth operations for students, faculty, and clinic patients.
Key Responsibilities (Essential Functions):
The Assistant provides comprehensive administrative and operational support to the Dental Hygiene Program and Clinic:
  • Administrative Support: Receive telephone calls and emails, answer questions, and respond accordingly to potential, current, and graduate students. Assist with typing, filing, copying, scanning, and data entry of program materials. Order and maintain office supply inventory.
  • Program and Student Files: Assist the Program Director with creating and maintaining student files, graduate files, and faculty files. Prepare and disseminate all student-related information to appropriate staff and faculty.
  • Admissions & Tracking: Create and maintain a tracking mechanism for admissions data (scores, transcripts, course transfers, interviews, etc.) for all potential student candidates.
  • Accreditation Support: Assist the Program Director with editing, revision, and preparation of reports for state agencies and accrediting bodies.
  • Financial & Purchasing: Assist Program Director and Clinical Director with recording, tracking, and managing all program and clinical purchasing.
  • Event Coordination: Assist the Program Director with planning and recording minutes for school events such as graduation, new student orientation, advisory board meetings, clinical/faculty meetings, and awards/pinning events.
  • Clinical/Front Desk: Function as clinic receptionist and perform related duties, including composing and emailing/mailing correspondence to past, current, and future clinic patients.
  • QA & Placement: Assist Program Director and Clinical Director with the Quality Assurance Program. Assist with obtaining and tracking responses for graduate and employer surveys (travel may be required).
Working Conditions & Physical Tasks:
  • Working Conditions: Indoor office environment; contact with employees, students, and the public.
  • Physical Tasks: Requires hearing, writing, manual dexterity, the ability to distinguish between color, and the ability to kneel, bend, stoop, and squat. Tasks include sorting, filing, and reviewing documents.
  • Equipment: Utilizes standard office equipment (telephone, copier, printer, scanner, fax machine, calculator, computer) and clinic-related equipment (postage machine, credit card machine).
Compensation & Benefits:
  • Hourly Pay Range: $19.26 - $23.12 per hour (Final pay dependent on experience and qualifications).

Minimum Qualifications:
  • Experience (Required): Three (3) years of experience in a business office.
  • Skills (Required):
    • Computer skills including Microsoft Office Suite (Word, PowerPoint, Excel, and Publisher), Adobe Acrobat X, various dental software, and BlackBoard.
    • Proofreading and editing skills.
    • Organizational skills.
    • Verbal and written communication skills.
  • Equivalency: Any equivalent combination of training, education, or experience that meets the minimum qualifications.
